The brief
To bring together the top end of the events industry to provide a memorable experience to remind top corporate clients of what they have been unable to do over the COVID period.
The objective
To remind corporates of what they have been missing for the last 2.5 years. To inspire the clients to re book and have their events on a grand scale. To reconnect these guests with people from the events industry and give them a chance to showcase their offerings. To use corporate events to reconnect people and to use them as a motivational tool to reach out and provide winning cultures within teams, staff and clientele.
The execution
There has been an overwhelming wave of support for this event from the entire industry.
35 Event Partners combined together and gave their offerings for no charge. This covered food, beverage, roving live entertainment, musicians, videography, photography, photo booths, audio visual and styling. There was no cost to any guests to attend.
Frasers was transformed by Phenomenon Creative Events into a stylish cocktail function space, with elegant AV projections and lighting by Perth Audio Visual.
Food Stations offering everything from Frasers (Peking Duck & Char Sui Pork) Crown Perth (sliders, charred chicken satay, prawn & pickled vegetables rice paper rolls) Optus Stadium (Torched Shark Bay Scallops, Roasted cashew butter chicken) and Perth Convention and Exhibition Centre (Desiree potato and chestnut gnocchi). A Gin Bar was supplied by Esplanade Hotel Fremantle by Rydges while QT Perth supplied a cocktail bar serving The Devil’s Brew & Emerald City’s.
Gage Roads supplied the beer for the night while Sandalford Winery donated their lovely 1840 Cabernet Merlot and Verdelho along with their very popular sparkling.
There was a huge cage with an aerialist, entry showgirls, contortionists and dancers from O Entertainment who also provided stage acts and roving entertainment. Williams Creative provided our MC for the evening, Blake Williams, as well as live musicians on stage from Proof, the Band.
Business Events Perth assisted in helping to make the night a success.
Highlights
Bringing together so many Event Industry Professionals in one room with a completely bipartisan approach by all is unprecedented. Pretty much every Five Star venue in Perth was represented in giving food, beverages, staff for the evening and or prizes. Depending on their Tier of Partnership, each Partner got to invite a certain number of corporate clients and guests. These invite lists were compiled by 3BY2, an independent agent, to maintain confidentiality of peoples contact lists. They also managed the invites, design, logo, door entry and raffles of the night.
From the entry, guests were immersed in styling, live entertainers, photographers, videographers and a huge offering of food and drinks.
Huge door prizes were on offer – like a $4500 Suite experience at The Ritz-Carlton Perth and a Golden Ticket from RAC Arena where guests got a VIP double ticket to any event at RAC Arena including meals and accommodation at Four Points by Sheraton.
Challenges/solutions
Compiling all of the information, offerings and ideas of so many people was a challenge. A lot of phone calls and emails was the only way to make sure that it all ran smoothly. Convincing people to be partners in the event was the easy part.
To keep all of the Partners happy with their return of investment proved to not be an issue with the sheer scale of the sensational services from so many professionals being involved.
We had six venues who provided uniformed staff for the night. To run this efficiently, the Floor Manager of Frasers, Alistair Pereira gave them a full site visit and briefing. Dietaries were also addressed by Frasers by having options available directly from the kitchen that weren’t catered for by the food stations.
The results
The response was overwhelming.
There were 382 RSVP’s and over 300 people in attendance. 5 photographers, 3 videographers, 5 production crew (from two different companies) 4 food stations, 22 floor staff from 6 venues, 27 prizes, 300 Golden ticket chocolate bars, 9 trucks of styling, 25 cartons of beer, 12 cases of sparkling, 18 cartons of wine, 224 cocktails, 212 gins, 14 performers, 4 musicians, one photo booth, 16 custom signs, 2 custom projections screens, 1 speech and about 4753 emails that combined to make this happen.
The connection between corporate clients and Industry was palpable. Smiles, laughter and loud conversations were the dominant form of communication.
The real belief that events were back was well and truly established. The purpose was to connect and to convince the corporate market that they can now start booking large events again. From the frenzy of LinkedIn traffic and after event emails, this has been achieved.
Working off an initial budget of $0 to achieve all of this was nothing short of a miracle.
